1. About these terms
These Terms of Service ("Terms") form a binding agreement between you ("the client", "you") and [Registered company name] ("ScholarPath", "we", "us", "our"), a company registered in Romania under registration number [CUI / J-number], with its registered address at [registered address, Romania].
By accessing or using our website, booking a consultation, or entering into a service agreement with us, you confirm that you have read, understood, and agree to be bound by these Terms in their entirety. If you do not agree, please do not use our website or services. Where a client is under 18 years of age, a parent or legal guardian must agree on their behalf and takes responsibility for compliance with these Terms.
ScholarPath is an independent educational admissions consultancy helping international students apply to universities in Romania. Our services may include, depending on the package you select:
Initial consultation — a paid one-to-one session in which we review your academic profile, discuss eligible programmes and universities, and outline the application process and next steps.
Document review — assessment of your documents for completeness and compliance with Romanian university and ministry requirements.
Application management — preparation, translation coordination, and submission of your application to the Romanian Ministry of Education (for recognition of foreign qualifications) and to your chosen university.
Visa support — guidance and document preparation for the long-stay study visa application to the relevant Romanian consulate or embassy.
On-arrival support — assistance after you arrive in Romania, including residence permit registration and enrolment formalities.
Specific deliverables for each package are described on our Services page and confirmed in writing before work begins. We reserve the right to modify or discontinue any service with reasonable notice.
3. Scope and limits of our service
We provide professional guidance and administrative support. We are an independent consultancy and are not affiliated with any university, the Romanian Ministry of Education, or any government or immigration authority. The following limitations apply to all of our services:
We cannot guarantee admission to any university, programme, or course. Admission decisions are made solely by the relevant university based on their own criteria and available places.
We cannot guarantee the issuance of a visa or any other permit. These decisions rest with consular and immigration authorities and are subject to their own policies and discretion.
Processing times and requirements set by third parties (universities, the Ministry of Education, embassies, immigration offices) may change without notice. We will communicate relevant changes as soon as we become aware of them, but are not liable for changes that occur after we have provided advice.
Our guidance does not constitute legal, immigration, or tax advice. For formal legal matters, immigration law questions, or tax obligations, you should consult a qualified professional.
We act as your representative only to the extent you have specifically authorised us to do so in writing.
4. Your responsibilities
To enable us to deliver our services effectively, you agree to:
Provide accurate, complete, and truthful information and documents at all times. Submitting false or misleading information to us, to universities, or to authorities may result in immediate termination of our services, with no refund, and may have serious legal consequences for you.
Submit requested documents and respond to our requests within the timeframes we communicate. Delays on your part may affect application deadlines, and we are not liable for missed deadlines caused by late responses.
Pay all third-party fees (including, but not limited to, university application fees, Ministry of Education recognition fees, apostille and notarisation costs, translation fees, embassy visa fees, and residence-permit fees) directly to the relevant authority or service provider. These fees are entirely separate from our consultancy fees.
Ensure all documents you provide are genuine, accurately translated (where applicable), and duly authenticated as required. Any costs resulting from incorrect or non-compliant documents are your responsibility.
Keep us informed of any change in your personal circumstances (for example, a change of passport, address, academic qualification, or immigration status) that may affect your application.
Comply with all applicable laws, university regulations, and requirements of any authority involved in your application.
5. Fees and payment
Our fees are presented on our Services page and confirmed in writing before work begins. Payment terms:
A consultation fee of €50 is charged per initial consultation session and is payable at the time of booking. This fee is deducted from your total package fee if you proceed with a full admissions service within 90 days of your consultation.
A document review fee of €100 is charged where you engage us for a standalone document assessment. This fee is similarly deducted if you subsequently proceed with a full package.
Full package fees are quoted individually based on your chosen programme, city, and the level of support required, and are confirmed in your service agreement.
All fees are quoted in Euros (EUR) and are exclusive of any bank transfer charges or payment processing fees, which are borne by the client.
We reserve the right to suspend work or withhold deliverables if invoices remain unpaid beyond the agreed due date.
6. Consultations and appointments
Consultations may be conducted by video call or telephone. Where you book a consultation through our online booking system, a payment is required to confirm your appointment. Consultation slots are subject to availability.
If you need to reschedule, please do so at least 24 hours before the scheduled time. Cancellations with less than 24 hours' notice, or missed appointments without prior notice, may be treated as completed sessions for payment purposes. Full details are set out in our Refund & Cancellation Policy.
7. Refunds & cancellation
Refund and cancellation conditions — including circumstances in which fees are fully or partially refundable, the timeline for requesting a refund, and how to submit a request — are set out in our Refund & Cancellation Policy, which forms part of these Terms.
8. Limitation of liability
To the fullest extent permitted by applicable law, our total aggregate liability to you arising out of or in connection with our services shall not exceed the total fees paid by you to us for the specific service giving rise to the claim.
We are not liable for:
Any indirect, consequential, special, or incidental loss or damage, including loss of opportunity or loss of anticipated savings.
Rejection of your application by any university, the Romanian Ministry of Education, or any embassy or immigration authority.
Delays, errors, or policy changes by third parties, including universities, government ministries, embassies, or courier services.
Loss or damage caused by your failure to follow our advice, to provide accurate documents, or to meet deadlines.
Nothing in these Terms limits or excludes liability that cannot lawfully be limited or excluded under applicable Romanian or EU consumer law, including liability for fraud or fraudulent misrepresentation, death or personal injury caused by our negligence, or any other liability that cannot be excluded by law.
9. Intellectual property
All content on this website — including text, graphics, logos, images, and the compilation thereof — is owned by or licensed to ScholarPath and is protected by applicable intellectual property laws. You may view and print pages for your personal, non-commercial use only. You may not reproduce, distribute, modify, or create derivative works from any material on this site without our express written permission.
10. Acceptable use
You agree not to use this website or our services to:
Submit false, misleading, or fraudulent information or documents.
Engage in any activity that is unlawful, harmful, or objectionable.
Attempt to gain unauthorised access to any part of our systems or the accounts of other users.
Use automated tools to scrape, crawl, or extract data from the site.
We reserve the right to suspend or terminate your access to our services immediately and without refund if we reasonably believe you are in breach of this clause.
11. Governing law & disputes
These Terms are governed by and construed in accordance with the laws of Romania. Any dispute arising out of or in connection with these Terms that cannot be resolved amicably shall be subject to the exclusive jurisdiction of the competent courts of [city, Romania].
If you are a consumer resident in the European Union, you may also have the right to submit a complaint through the European Commission's Online Dispute Resolution platform at ec.europa.eu/consumers/odr, or to bring proceedings in the courts of your country of habitual residence.

We may update these Terms from time to time to reflect changes in our services, applicable law, or business practices. The "last updated" date at the top of this page reflects the current version. Continued use of our website or services after the effective date of an updated version constitutes acceptance of the revised Terms. Where changes are material, we will make reasonable efforts to notify you.
